Any business that sells products or services: supermarkets, pharmacies, boutiques, restaurants, phone repair shops, salons, hardware stores, event vendors, schools — if you sell anything, PosWolf can handle it.

None at all. If you can use WhatsApp, you can use PosWolf. The install takes under a minute and the interface is designed to be as simple as possible.

Download the installer from our website, double-click it, and click Next → Install. PosWolf installs itself automatically — no technical steps required. The whole process takes under a minute.

Any Windows 10 or Windows 11 PC or laptop. Even older budget laptops work fine. PosWolf is lightweight and does not need a powerful machine.

PosWolf is a Windows desktop app — it does not run on Mac, iPad, or Android tablets. However, your phone can be used as a wireless barcode scanner alongside the Windows app.

Yes — completely. PosWolf stores all your data locally on your computer. You can run your entire business with no internet connection. Internet is only needed when activating your license or connecting a phone scanner.

Most users are making their first sale within 15–30 minutes of installing. If you use the sample CSV to bulk-import your products it can be even faster.

Yes. PosWolf supports CSV import. Download our sample CSV from the Downloads page, fill in your products in Excel or Google Sheets, then import. Hundreds of products in seconds.

Just a Windows PC. Everything else — database, receipt engine, inventory system — is built into the app. No separate software needed.

One download. Updates are optional — PosWolf will notify you when a new version is available, and you can update whenever you're ready. Your data is always preserved during updates.

The app itself is self-explanatory, but our website has guides and our support team is available via email to walk you through anything.

Click "New Sale", search for a product by name or scan its barcode, set the quantity, choose the payment method, and click Confirm. A receipt is generated automatically.

Yes. Add as many items as you like to the cart before checking out — just like a real shopping basket.

Yes — you can apply a flat amount or percentage discount at checkout on any transaction.

Yes. PosWolf works with any receipt printer that Windows recognises — thermal printers, desktop printers, anything. You can also preview receipts on screen without printing.

Yes — your business name, address, and footer message appear on every receipt and can be updated in Settings.

Yes. Before confirming payment you can attach a customer name and reference to the transaction — useful for corporate sales, delivery orders, or named customer records.

You can void or refund a transaction from the Transactions screen. The inventory is adjusted automatically.

You can record partial payments. Split payment across two methods (e.g. cash + transfer) is on our roadmap.

Yes — printing is optional. You can complete a sale without printing and print later if needed.

With a barcode scanner, a full transaction from item scan to receipt takes under 30 seconds.

Unlimited. PosWolf has no cap on the number of products, categories, or transactions.

Yes. Every sale automatically deducts from stock. You can see current stock levels on the Products page and filter by low-stock items.

Yes — products below their minimum stock threshold are flagged visually so you know what to reorder before you run out.

Yes. Mark any item as a "Service" and PosWolf will not track stock for it — perfect for anything you do rather than sell.

Products have stock quantities that go down with each sale. Services do not — you can sell them unlimited times without stock running out.

Yes. Add an optional expiry date to any product. PosWolf shows colour-coded badges — green (Ok), yellow (Expiring Soon within 30 days), red (Expired) — so you always know what needs attention.

Yes. Enter the cost price alongside the selling price and PosWolf calculates your gross profit margin automatically.

Yes — each product can have a unit label that appears on receipts and in the product list.

Yes. Create as many categories as you need — Groceries, Beverages, Electronics, Services, etc. — and assign each product to one.

Yes. The New Sale screen has a real-time search bar — start typing a product name and results appear instantly. No need to scroll through a long list.

Yes — download the sample CSV from our Downloads page, fill in your products, and import it into PosWolf in one click. Name, category, price, cost, stock, SKU — all in one file.

Yes — open any product and edit or delete it at any time. Deleting a product does not remove it from past transaction records.

Yes. Payments are processed by a PCI-compliant payment provider. We never store your card details.

After payment, your license key is displayed on screen and emailed to you. Open PosWolf → Settings → Enter License Key → paste your key → Activate. Done.

Your data is safe and the app keeps working in read-only mode. Renew your subscription to resume full access.

Yes. PosWolf supports multi-terminal mode — one machine acts as the Server (holds the database) and other machines connect to it as Client terminals over your local WiFi or network.

The Server machine needs a license. Client terminals connect to the Server and share its data — contact us for multi-terminal pricing.

No — the terminals communicate directly over your local WiFi or network cable. No internet required.

There is no hard limit. As many terminals as your local network can handle.

In real time. When a sale is recorded on any terminal, all other terminals update instantly via SignalR. No manual syncing needed.

The offline terminal keeps working in standalone mode. When it reconnects to the Server it resumes normal operation.

Go to Settings → Network on the main machine, select Server, and save. On other PCs, select Client Terminal and scan the LAN — the server is detected automatically. Full setup instructions are on our Downloads page.

No — you can search for products by name. A barcode scanner just makes checkout faster, especially for high-volume shops.

Any USB or Bluetooth barcode scanner that works as a keyboard (HID mode) — which is almost all of them. Plug it in and it works immediately, no driver installation needed.

Yes! PosWolf has a built-in mobile scanner feature. When the Server is running, open our scanner page on your phone browser and scan barcodes — they appear in the cart on the PC instantly.

No — your phone and PC just need to be on the same WiFi. No internet required.

Code 128, Code 39, EAN-13, UPC-A, QR codes, and more — anything your scanner can read.

Yes — our Downloads page has a printable barcode sheet with sample SKUs. You can also generate custom barcodes for any product SKU using free tools like the ones on our site.

Assign any code you like as the SKU — PosWolf will use it as the barcode. You can print your own labels with a cheap thermal label printer.

Yes. The P&L report shows your total revenue, cost of goods sold, gross profit, and net margin — filterable by day, week, month, or custom date range. To get accurate figures, make sure you enter the cost price for each product when adding it to your catalogue.

The Audit Trail is a tamper-evident log of every important action taken in PosWolf — voided sales, price changes, stock adjustments, user account changes, and setting edits. Each entry records which staff member did it and when. It holds your team accountable without needing manual checks.

Yes — the reports section shows you which products sell most, helping you decide what to stock more of.

Yes — transaction history and product lists can be exported to CSV, which opens in Excel or Google Sheets.

Forever — every transaction is stored locally on your machine and never deleted unless you choose to clear it.

Yes. You can create separate user accounts for each staff member, each with their own login and role. Every new account is given a temporary password — staff are required to choose their own password the first time they log in, so you never need to share long-term credentials.

Yes. PosWolf has role-based access control with four roles — SuperAdmin, Admin, Manager, and Cashier. A cashier can only ring up sales; a manager can edit products and view reports; an admin can manage staff and settings; only the SuperAdmin can change licensing and critical system settings.

Yes — every transaction is tagged with the logged-in user, so you can see exactly who sold what and when.

Yes — filter the transaction history by user to see an individual cashier's sales for any time period.

Yes — the Audit Trail logs every critical action (voided sales, price edits, stock adjustments, user account changes) with the staff member's name and a timestamp. You'll always know who did what.

PosWolf can print a QR code on every receipt. Customers scan the QR code to receive a reward — a discount on their next purchase. It brings customers back and rewards them for returning.

The cashier scans the customer's QR code at checkout. PosWolf validates it and applies the discount automatically.

Yes — set a fixed discount amount or a percentage. You control the reward value for each campaign.

Yes — create multiple campaigns and assign them as needed.

The Campaign Analytics page shows total scans, redemptions, and redemption rate — so you can see exactly how many customers came back.

No — they just scan the QR code on their receipt with any phone camera. No app download needed.

The Store Monitor is a private web dashboard that lets you watch your shop in real time from any phone or browser — even when you're not physically there. It shows today's sales totals, every recent transaction, and a live audit trail of all staff actions.

Two steps:

1. Set your password — Open PosWolf on your shop computer → Settings → Remote Monitor. Enter a new password and click "Set Password". You only need to do this once.

2. Open the dashboard — The link was sent to your email when you activated your license. Open it in any browser, sign in with your owner email and the password you just set, and you're in.

If you've lost the link, it's also shown in Settings → Remote Monitor.

The dashboard itself (the website you open on your phone) needs the internet. The POS app on your computer sends each sale and staff action to the cloud silently in the background — if there's no internet at the shop at that moment, the event is saved locally and the cloud catches up when connectivity returns.

Sales and audit events are pushed to the dashboard immediately after they're recorded in the app — typically within a second or two. The dashboard also auto-refreshes every 30 seconds, so you always have a fresh view without touching anything.

Every important staff action is logged and visible on the dashboard: voided or cancelled sales, product price changes, stock adjustments, new user accounts, login and logout events, and data exports. Each entry shows the staff member's name, their role, what they did, and the exact time.

No. Staff only interact with the POS app on your computer. The Store Monitor dashboard is accessible only to you (the owner) — protected by the password you set in Settings → Remote Monitor. Staff cannot see it, edit it, or remove entries from it.

The Store Monitor is a read-only view — you can see everything, but you cannot change prices, void transactions, or edit anything remotely. This is by design: your data stays safely on your machine and changes can only be made by someone physically at your POS.

No — Store Monitor is included in every PosWolf license at no extra cost. There is no separate subscription or setup fee.

Create your own admin account and deactivate the default one — this is the single most important security step.

Every copy of PosWolf ships with the same built-in admin account. If you leave it active, anyone who knows PosWolf can log into your system. Here is what to do on day one:

1. Open PosWolf and press Ctrl + Shift + W on the login screen to see the default credentials.
2. Log in with those credentials. PosWolf will immediately ask you to set a new password — this is enforced and cannot be skipped.
3. Once you have set your password, go to Users and create additional Admin or Manager accounts for your team as needed. Each new account also requires a password change on first login.
4. Find the default admin account (admin_PosWolf) and set it to Inactive.

Once that account is deactivated, only your own staff can log in.

On the PosWolf login screen, press Ctrl + Shift + W on your keyboard. A secure popup will appear showing the default username and password with a one-click Copy button.

We never publish these credentials online — the keyboard shortcut is the only way to retrieve them, and it only works inside the app on your own machine.

First-login security: The moment you log in with the default credentials, PosWolf will prompt you to set a new password before you can do anything else. This is enforced for every account — including all new staff accounts you create. The temporary password is just a door; everyone must choose their own key.

After logging in, create your own admin account and deactivate the default one. See "What should I do first after installing PosWolf?" for step-by-step instructions.

On your own computer — in a local database file. Your business data never leaves your machine unless you choose to back it up yourself.

Your database is stored on your own machine and cannot be accessed remotely — only users physically at your computer (or your local network in multi-terminal mode) can use the full POS system.

The one exception is the Store Monitor: you (the owner) can view a live read-only dashboard of sales and staff activity from any browser. This shows you what's happening but does not give anyone the ability to change anything remotely. Think of it as a one-way window into your shop.

Your database and settings are stored separately from the app itself. Uninstalling PosWolf does not delete your data — it stays in the AppData folder until you manually remove it.

Yes — PosWolf runs automatic backups on two schedules:

Local backup: a new encrypted copy is saved on your machine every hour while the app is running, keeping the last 7 days of copies.

Cloud backup: an AES-256 encrypted backup is uploaded to your personal Google Drive every 4 hours when internet is available (configurable in Settings). Your data goes to your own Drive account — not our servers.

To enable it, go to Settings → Cloud Backup, sign in with Google, and set a passphrase. That's it.

Yes — copy your database file from the old machine to the new one. Contact us at info@newdevz.com and we'll walk you through it step by step.

No — PosWolf never stores your card or payment credentials. Payment processing happens through a secure third-party checkout, not through the app.

As long as you have a recent backup of your database file, you can restore everything on a new machine. We recommend keeping a regular backup.
